The Certificate of Insurance (COI) module provides an intuitive interface for managing Vendor and Tenant Certificates of Insurance with policy, expiry and compliance information at your fingertips.
Here are a few tips to help you effectively manage your COIs.
Easily Manage Expired COIs
The Certificate of Insurance module provides users with a filter option that allows you to quickly identify tenants and vendors who don’t have a valid COI. Additionally, Certificates of Insurance can be sorted by expiration status, and automated e-mails can be sent to tenants and vendors when their COI is nearing the expiration date. COI expiry notifications can be sent to the Tenants or Vendors up to two times prior to expiry. Learn more about setting up automated notifications, or follow the guide below.
Step 1 – Click on the vendor name you wish to select
Step 2 – Select the Messages tab
Step 3 – Select edit to set automatic notification dates
Step 4 – Set parameters in the fields shown below and select save when done
When a certificate of insurance is reaching its expiry date there are one of two options: The COI can simply be deactivated, this will remove the COI from the list and archive it in the history section if it needs to be referenced at a later date. Removing the COI will ensure only valid COIs are displayed. Or, you can renew the COI; clicking renew in the top right hand corner of the screen, renews all current information for that COI.
Dashboards: Get Quick Insight into Your COIs
Dashboards provides a visual representation of information pertaining to key operational data. It is particularly useful for the Certificate of Insurance module for displaying a detailed breakdown of the various COI statuses: Compliant and Expired, Missing COI, Non-Compliant & Current and Non-Compliant & Expired.
